Classification of Admin Assistant job level :

  • Level 1 : Position will receive direction and support. This position level would typically include junior Administrative Assistant with basic administrative tasks.
  • Prior extensive experience not required.

  • Level 2 : Works with moderate work direction, and can identify issues / problems but may need assistance in resolving.
  • This position would typically include senior Administrative Assistant who is able to manage, train and mentor other office staff, lead projects, handle confidential and sensitive data.

    Nature of the job is generally creating rather than maintaining and developing rather than monitoring.

  • Level 3 : Minimal work direction needed, highly skilled and knowledgeable to the position. This position would typically include a professional Administrative Assistant.
  • Expert in the field, possibly professional certification holder.

    Job requirements for Admin Assistant :

    Ø Preferred match is admin skillsets from software industry / IT operations set up

    Ø Skillsets are not from Retail / Machinery / real estate / Hotel / Hospital etc..

    Ø Proficiency with MS Office required. Minimal work direction needed, highly skilled and knowledgeable to the position.

    Ø Knowledge of outlook is mandatory (e.g. calendar management Scheduling / rescheduling meetings across global time zones, Take minutes of meetings when asked for, finalize draft with manager and distribution)

    Ø Effective communication skills

    Ø Job Location : Bangalore, India

    Ø Nationality : Indian

    Ø Distance to office and Residence : within 10 Kms

    Ø Shift timings : 1 : 30 Pm 10 : 30 PM predominantly , first month would be 9 am to 6 PM

    Job description for Admin assistant : Administration Assistant has to support managers, supervisors and employees of the group on following as a minimum :

    T&E expense review and approval processing as per company guidelines.

    Time writing process.

    Managing calendars of managers / supervisors / Advisors and coordinating with external people (other groups, contractors, international affiliates) for meeting scheduling.

    Preparing various letters for managers and employees- invitation letters, employment letters etc.

    Coordinating with contracted 3rd party service providers like hotels, transport services, mails / couriers, travel agents (company appointed) for various company events.

    Small procurement of gift items, stationary.

    Act as point of contact when asked by Managers / Supervisors

    Arrange logistics for training / onboarding for new personnel, provide start-up support for Admin and IT activities

    Take minutes of meetings when asked for, finalize draft with manager and distribution.

    Process invoices for services through approval process for further disbursement.
