  • Summary :

    The Regional Event Manager is responsible for the planning, delivery, and success of EO events and meetings in the South Asia Region.

    The Regional Event Manager will enforce standards, process, tools, resources, and trainings to standardize the planning and execution of Regional Events.

    Essential Duties and Responsibilities :

    Regional Event Management to include :

  • Oversee the health and success of the largest attended events of the region. Where possible, create strategies to improve the process, attendance, and member value to subsequently impact member retention and satisfaction.
  • Establish regional event strategy to include funding model, regional entity management, selection process, driving attendance, new member participation and integration, and data analysis.
  • In conjunction with regional members leaders and regional director, the regional event manager will recruit, identify, and select host cities and event chairs.
  • Subsequently, onboard and train incoming event chairs and committees with EO standard practices. Ensure incoming chairs are participating in current year event for training and smoother handoff.

    When possible, maintain a 2-year pipeline of events.

  • Develop and manage resources to support event committees including monthly experience share calls, templates, how to guides, and timelines.
  • Actively improve and grow resource library.

  • Oversee the standardization and implementation of EO technology tools including Samepage, EO Network Registration, event website template, mail chimp email service, use of listserve and event app.
  • Actively seek new tools to improve planning.

  • Oversee the registration and payment process with the support of regional coordinators.
  • Manage internal marketing of event including updates to the public site, the inclusion of event info in newsletters, sharing with staff, participation in functional calls, and promotion at other regional events.
  • Review and provide feedback for large contracts such as hotel, event management resources, and wow speakers.
  • Liaise / give consultation to the Event Committee including committee management, hotel selection, event management selection, agenda development, speaker recommendations, budget creation and management, marketing and communications, and sponsorship support.
  • Provide regular event updates to regional councils and staff to include registration numbers, hotel contract and budget management, sponsorship, and the overall status of an event
  • Attend monthly committee calls and up to 2 in-person meetings; site inspections, site visits, and or committee training.
  • Determine staffing needs and organize travel team including E-Team and Board registration and travel management (work with Board Liaison.)
  • Develop a post-event report to include evaluations, lessons learned, and organizational impact. Retain important event documents and reassess training and resources to ensure learnings are implemented.
  • Foster relationships with regional and functional staff and create multi-functional teams to increase awareness, communication, and support.
  • Identify, procure and coordinate sponsors in support of Regional Events.
  • Other duties :

  • Actively support other regionally based event managers with regular touch bases, training, experience share, and resource development.
  • Participate in meetings to drive the strategy of Regional Events for the organization such as OPM, GLC, etc.
  • Ad Hoc reporting as needed.
  • Regional Meetings Management to include :

  • Responsible for the overall success and execution of Presidents Meetings, Regional Leadership Academies, and other regional based meetings.
  • Lead discussions with Regional Directors and Member leaders regarding timing, location, financial contributions, and overall strategy of an event.
  • Financial oversight including hotel contract management, approving event budget, and final budget reconciliation.
  • Regional Council Support to include :

  • Support Regional Council in achieving measurable accountable plan (MAP) objectives as it relates to regional events and meetings.
  • Support Regional Council in establishing regional event strategy to include funding model, selection process, driving attendance, new member participation and integration, data analysis, etc.
  • Provide regional council with regional event updates to include registration numbers, hotel contract and budget management, and the overall status of an event
  • Other Duties as Assigned :

  • Provide general assistance to the Senior Director, Membership Operations and Director, South Asia as required

    Education and / or Experience :

    Required :

  • Bachelor's degree
  • 5+ years of project management and execution experience
  • Comprehensive understanding of association management
  • Basic understanding of HTML, WordPress, and content editing
  • Experience with CRM’s and other data sources
  • Exceptional Microsoft Excel Skills
  • Survey creation, data compilation, and analysis
  • Experience running events, including budget management
  • Experience coordinating with other departments
  • Exceptional communications skills both internally and externally
  • Exceptional customer service
  • Preferred :

    Reasoning Ability : Ability to apply common sense understanding to carry out instructions furnished in written and / or oral form.
