PMO Consultant - Strategy and Transformation

This position will be a part of a client-facing Strategy and Transformation team and is an integral part of the firm’s strategy to build scalability and improve efficiency of PMO processes.

The consultant will closely work with the senior leadership and delivery teams and lead the execution of processes across various functions viz.

Project Planning, Milestone tracking ,Finance, SLA compliance, Training, Billing etc., to drive a transformation project with right governance and execution, managing multiple stakeholders, complicated data dependencies, and intersecting workstreams common to large scale transformation projects.

Responsibilities :

Strategic activities :

  • Work as part of the PMO team to enable smooth delivery of the client engagements
  • Support to drive the program forward, track to milestones, identify risks and issues early on, ensuring the program stays on track to achieve milestones
  • Define operational models for PMO with standard operating procedures, governance criteria, roles and responsibilities
  • Contribute to thought leadership and innovation, advising the team on implementation
  • Participate in business and strategy development
  • Participate in unstructured problem solving with the team and client on issues which arise during the course of a large program.
  • PMO activities :

  • Own PMO processes and tools (e. g, project charter, Decision Logs, ticket management system, issue management, communication and reporting, knowledge management, etc.)
  • Contribute to Strategy & Transformation projects and coordinate with the team to manage project plan, RAID log, RTM, etc.
  • Coordinate with team members (internal and client) to track the adherence on project processes to ensure that things get done
  • Facilitate regular updating of project performance summaries (e.g., financials, utilization, SLA metrics)
  • Track Program Risk Management process to ensure timely and accurate reporting of risks
  • Maintain SOP documents repository and ensure timely updates and version control
  • Prepare & Maintain weekly adhoc Task Tracking Reports
  • Facilitate continuous improvement leveraging various internal or external assets in consensus with key stakeholders
  • Manage onboarding / off boarding, training and team compliance
  • Manage asset (client laptops / phones) record-keeping
  • Manage PMO assets and be a single point of contact for the team on any queries on relevant topics
  • Coordinate with key stakeholders for timely renewal of legal documents and flag upcoming billing milestones and preemptively communicate to program manager.
  • Team Coordination activities :

  • Coordinate regular cross-office team meetings between offshore and onshore team
  • Facilitate induction of new team members into the team by coordinating kick-off meetings and getting appropriate system accesses
  • Coordinate knowledge sharing sessions.
  • Client Coordination :

  • Follow-up with client’s PMO team on any issues with the PMO tools / processes that are shared across ZS and client (e.
  • g., ticket management system, etc.)

  • Work directly with client’s PMO team on updating and sharing performance summaries (financials, utilization, SLA metrics) with key stakeholders
  • Collaborate with the client’s admin / support group PMO to set up meetings, workshops & seminars.
  • Qualifications :

  • Graduate with 6-8 years plus of experience in Project Management, or a Postgraduate in MBA with 4 years plus of experience in Project Management
  • Experience in large scale transformation projects with multiple stakeholders, complicated data dependencies, intersecting workstreams, project Change Management
  • Organized and self- motivated
  • Good knowledge of Project Management Processes and tools
  • Proficient on MPP, MS Excel with working knowledge of PowerPoint and Word
  • Good verbal and written communication, pleasing personality
  • Customer focused
  • Good interpersonal skills
  • Extremely high on initiative, proactive
  • Thrive on unstructured projects and problem-solving
  • Comfortable with ambiguity and willing to get their hands dirty to get things done
  • Prior experience of running PMO for large business transformations, or, implementation of Digital strategy
  • Experience in life sciences transformation preferred
  • Project Management Certification like CAPM / PMP / Prince2 is preferred
  • Good understanding of Lean Six Sigma principles (Green Belt certification preferred).
