Onboarding Specialist (US Staffing)

Our client is seeking a self-motivated, results-oriented, entrepreneurial team player who possesses excellent customer service and communication skills.

The ideal candidate will have a tenacious, energetic attitude, competitive nature, be driven to succeed, and able to work in an extremely fast-paced environment with technologies and processes that evolve rapidly.

The individual should be comfortable working independently as well as part of a cross functional team, and possess great interpersonal skills.

This role is all about providing exceptional candidate experience with an assertive undertone to ensure the candidate completes all of the necessary onboarding paperwork.

Customer service, attention to detail, strong organizational skills, as well as written and verbal communication skills are required.

As an Onboarding Specialist you will represent our client to their candidates during their new hire onboarding process. The primary function is to provide the candidate a high touch, ultimate customer service experience as the Onboarding Specialist facilitates completing all new hire documents with the candidate to become an employee of our client.

Roles & Responsibilities

  • Initiate and manage the candidate onboarding process for all new hires, including offer letters, background screenings, drug tests, document collection, and orientation details.
  • Performance is measured by : percentage of candidates successfully onboarded, candidate satisfaction with the onboarding process, timeliness and quality of responses, and attention to detail.
  • Provide exceptional customer support to candidates via phone, voicemail, and e-mail.
  • Customer-centric attributes with the ability to work effectively and professionally with both internal and external members.
  • Participate to formulate workflow processes, methods and policies for candidates.
  • Use judgment to escalate to proper party when needed.
  • Follow through on unresolved candidate inquiries and necessary documents.
  • Manage and own data entry into the onboarding platform, ensuring data integrity
  • Understand & follow the given onboarding documents and guidelines per client
  • Improve organizational output through improved processes and quality measures
  • Collect necessary documents and details from the candidates post offer, ensuring a smooth onboarding process
  • Meet or exceed defined onboarding SLAs
  • Update on boarding tracking reports on a daily basis
  • Produce weekly metrics reports, month interview reports and quarterly offer & hire reports
  • Requirements

    Required Qualifications :

  • Excellent communication skills - written, verbal, and interpersonal
  • Prior experience in HR, employee onboarding, and / or customer service role
  • Ideally a candidate with a minimum of 3-5 years of experience handling US onboarding, compliance and background verification (for full-time and contract placements)
  • Highly proactive in approach and be able to work independently and as part of a team.
  • Strong attention to detail
  • Self-starter, an ability to work in a fast growing, challenging start-up work space
  • Must be highly motivated, dedicated and results-driven to attain growth goals
  • Strong verbal and written communication skills to assess candidate needs and adjust communication style accordingly
  • MSOffice proficiency and internet savvy
  • Access to high speed internet, audio and video on computer for professional phone, we band video conferencing
