Job Description

We are looking for a person to provide operational and administrative and operations mobility support for our visa holders and assignees throughout the Americas.

The Associate will support the Regional Global Mobility team.

What’s Involved?

  • Document standard operating procedures for immigration and mobility activities
  • Assist with other global mobility tasks, which may include involvement with international relocations
  • Maintain system records to ensure accurate and timely information / documentation
  • Support Public Access File and Labor Condition Application compliance
  • Support other Senior Associates with our business visa program
  • Drive compliance on our internal sites and posting boards
  • Support tracking and vendor billing
  • Monitors progress for US immigration cases in conjunction with external vendor
  • Assists with all North America immigration applications including case initiations within our vendor systems.
  • Management of reporting quarterly metrics
  • Management of immigration content on internal intranet
  • Assist in the day-to-day responses for business visa immigration inquiries including responding to employees and outside vendors
  • Assist with policy and process definition, documentation, and roll-out
  • Partner with internal stakeholder groups as well as various 3rd party vendors
  • Assist with various projects as needed
  • Work directly with Senior Associates on projects related to the enhancement of Publicis’ Global Mobility Program
  • Assist with compensation management and accumulation of payroll records for tax reporting
  • You have :

  • Experience maintaining accurate and orderly records
  • Proficiency with the MS Office Suite and strong Excel, Outlook, Power Point, Sharepoint and Box skills
  • High level of attention to detail
  • Poise and grace in difficult conversations and messaging
  • You're Great At :

  • Working on multiple projects or cases independently in an environment with changing priorities
  • Communications
  • Experience providing guidance to employees, managers, recruiters, or HR on highly sensitive, confidential matter
  • Advocating and empathizing
