Assistant Facility Manager Technical
Monitor and Maintain all M&E related equipments including Electrical systems, UPS, Invertors, HVAC, Precision A / C, Fire Fighting, Plumbing, Carpentry etc.
To provide administrative support to the Facilities Management team
To ensure timely and accurate completion of FM reports.
Handle day to day operations of facilities.
Ensure strict adherence to client SLA’s.
Ensure strict implementation of EHS process.
he maintenance / service practices of M&E Contractors to deliver quality work practices in line with the manufacturer recommendations.
Plan & take responsibility for smooth operations of all Mechanical, Electrical, Plumbing installations and civil works pertaining to the facility.
Responsible for planning a critical spares for all installations as per manufacturer’s recommendations and inventory.
To provide comprehensive facility, contract and procurement management for technical services to the client.
Responsible for development of all maintenance related schedules and plan shutdown activities in consultation with Clients.
Periodically inspect the logbooks, checklists and PPM schedules for a better management of Engineering systems;
Work towards ZERO’ down time and set up the practices to ensure the delivery of seamless service to Clients.
Responsible for ensuring landlord’s compliance on availability of all statutory obligations.
Responsible for setting up the maintenance contracts to ensure the risk mitigation to the Client operations;
Assume the responsibilities of FM, as and when required.
Implement the Energy management programs to reduce the cost on utilities.
Responsible for weekly & monthly reports on M & E, covering the maintenance contracts, spare parts consumption, Incident reports, etc;
Responsible for Energy management, saving opportunities, risk management & engineering systems audits.
Performs handyman work including, but not limited to Carpentry Painting drywall and plaster.
Repair, miscellaneous electrical work, minor plumbing repairs, Door repairs / replacements etc.
Conducts daily internal walk-through to ensure all M&E equipments are in good order.
Coordinate / handle Board rooms and Meeting room settings.
Oversee contractor’s workmanship.
Monitoring of Job progress, Job Schedule and Status.
Maintaining daily team communication / relationship while on the job, including dealing with Client expectations.
Sort and manage Building plans and warranties complete other general repair maintenance projects as assigned by the Facility Manager.
Implementation of LOTO procedures and various other safety procedures required for safe operations.
Ensure adherence to client SLA’s.
Monitor the operations of M&E vendor and ensure adherence to SLA’s.
Coordinate / monitor LL actions on areas controlled by them.
Ensure 100% uptime of all equipments.
Ensure implementation of FM global practices.
Tracking of Facility Operating Expenses
Processing of all invoices for payment
Liaison with the client Finance team
Tracking, verifying and filing all JLL and Facility related invoices
Client billing / invoicing and follow up payments by clients.
Be accessible for escalation of all FM related issues
Preparing the Daily / Weekly and Monthly reports
Collecting all documents from the vendor for compliance audit.
Oversee the Helpdesk work process
Effectively manage Facility team to ensure an on time deliverable system.
Provide assistance to FM in all administrative functions, security issues and Facility services and any other administrative functions deemed by Client
Ownership of the Day to day administration, including reports generation of the stocks tracker.
Provide management advise to Helpdesk operators for escalated issues
Ensure immediate response to Priority Calls
Take rounds of the facility to ensure high standards of upkeep
Muster all the M&E staff of the shift before deployment and communicate the priorities of the day.
Meet the M&E in charge during the shift to discuss and communicate priorities for the shift and address complaints
Oversee the reprographic equipment operations and take necessary actions.
Communicate to the FM all incidents issues and pending problems
Take rounds of the facility regularly to identify issues in and initiate immediate rectification actions
Participate in Emergency Evacuation procedures including crisis Management and business continuity.
Manage all Healthy & safety issues and actively participate in Health and Safety reviews.
Ensure compliance with statutory regulations on Fire, Health and Safety standards.
Ensure on Safety Procedures, including crisis Management / Business continuity and Emergency procedures are maintained at all times.
Managing and Monitoring Vendor services and ensure adherence to SLA’s
Conduct vendor meetings on a regular basis and review performance.
Processing of Vendor invoices.KEY PERFORMANCE
Generate and submit reports on time
Adherence of PPM calendars
Maintain high standards of M&E operations.
Follow the EHS guidelines and work permit system.
Audit and implement cost effective and improvised process.
