JOB SUMMARY

Reports to the Proposal Manager in Pune

The Bid Process Administrator (BPA) plays a crucial role in supporting the Commercial Process eXcellence (CPX) process and ensuring that all Systems bids move through the required stage gate approval steps in an efficient and compliant manner.

The Bid Process Administrator is responsible for scheduling and chairing the necessary stage gate approval meetings to review the status of the projects as they move through the CPX workflow.

PRINCIPLE DUTIES AND RESPONSIBILITIES

  • The BPA receives a new Proposal Workbook (PWB) file from the Sales team for each new Systems opportunity. The BPA is responsible for review the PWB and ensuring that all details are correctly completed prior to scheduling a QIA call and ensuring that the correct Approvers are invited as per the relevant technology, opportunity value and DOA
  • The BPA will chair the QIA call and capture the Minutes of the Meeting, which are then issued to the team confirming that the new opportunity has either been Approved, Rejected or is On-
  • Hold pending further actions

  • If the new opportunity has been QIA Approved, the BPA is then responsible for uploading the opportunity into the EAGLE SharePoint tool and capturing the relevant stage gate approval details from the QIA meeting
  • If an approver did not attend the QIA meeting, the BPA is responsible for creating the necessary Approval Requests in EAGLE
  • At a later stage in the bid process, the BPA will receive an updated copy of the PWB and informed that the opportunity is now ready for LEAF Approval.
  • Once the opportunity has moved to the LEAF Approval stage, the BPA is responsible for updating the opportunity in EAGLE to capture the TCR stage gate approval details which have been entered into the relevant tab of the PWB.

  • The BPA is then responsible for scheduling a LEAF call and ensuring that the correct Approvers are invited as per the relevant technology, opportunity value and DOA
  • The BPA will chair the LEAF call and capture the Minutes of the Meeting, which are then issued to the team confirming that the opportunity has either been LEAF Approved, Rejected or is On-

  • Following LEAF, the Sales team are responsible for submitting the proposal to the customer and negotiating the potential order.
  • If SPX FLOW are successful and are awarded the project, then the Sales team will update the PWB and submit it for LOAF Approval.

    The LOAF Approval process follows a very similar stage gate approval to the LEAF Approval process.

  • The BPA is responsible for ensuring that all bid data in EAGLE is correct and up to date, particularly the stage gate approval dates which are important in tracking the Proposal Management KPI’s for Proposal On-Time Delivery.
  • The BPA will work closely with BPA’s in other regions and provide cover and support as needed, e.g. during periods of holiday or absence.
  • KNOWLEDGE, SKILLS AND ABILITIES

    Essential :

  • Good coordination and time management skills
  • Organized, able to balance work-load and competing priorities
  • Very strong communication skills in English both verbal and written Verbal - ability t manage / chair online meetings with a diverse and varied audience Written ability t capture Minutes of Meetings in a succinct and clear manner
  • Able to manage internal communication between departments and / or Business Units towards building one approved SPX FLOW bid / offer.
  • Good attention to detail, able to review and understand key information from the Proposal Workbook or LEAF Deck
  • Quality focused and commercially aware
  • Strong interpersonal and team working skills
  • Proficient in Microsoft Excel and Microsoft Word as well as SharePoint
  • Desirable

  • Familiarity and understanding of both wet and dry process solutions
  • Familiar with common costing and reporting tools SAP, SQS, APACE, EXAPTA etc.
  • EDUCATION AND EXPERIENCE

    Required Education / Experience :

  • Education : Four Year Degree or equivalent work experience
  • Previous experience supporting a sales support team, sales representatives and channel partners in administrative areas such as order processing, customer quotes, sales information management and financing
