What's the role

RE Workplace Accessibility and Business Support Analyst is part of Real Estate operations (RE ops) team, which is responsible for delivering smooth service standards at workplace and assurance compliance in Trade Control and Share Point Space.

Be a Real Estate function representative to lead, drive and manage the WPA implementation and run and maintain for the smooth service standards in line the SLA defined for all RE sites successfully by working with the WPA cross function teams and RE related teams to achieve the WPA objectives and expected delivery.

Deliver effective & compliant shipping and trade control processes.

Your further accountabilities include the following :

  • Be accountable and responsible for the WPA project management with agreed expectation for Real Estate by interfacing with the WPA project team / cross functions teams (HR, IT, health, enable network, CP etc) for achieving the project objectives and the required actions.
  • Be responsible for working with WPA DRB and RE leadership for align on decision, providing the project update or issues solving.
  • Be responsible for working with the RE function expertise (Connect standard teams) for the catalogues updating and coordinating for the function expertise’s guidance and advice for assessment and solution provision.
  • Be responsible for working with and supporting the Accessibility center for addressing any RE issues
  • Be responsible for working with the Planon teams to ensure the Planon system designed fitting for the WPA purpose and addressing any ongoing improvement.
  • Be responsible for updating and developing communication and training materials for guiding the Accessibility Centre team and on site Planon focal points and delivery focal points who are competent enough for the WPA requests and delivery in line with SLA and KPIs.
  • Be responsible for development the running and maintaining plan and responsible for delivery and day to day monitoring.
  • Use advanced system functions and reduce manual intervention using digitalization, Reporting & Continuous improvement.
  • Delivery of performance based on the agreed accountabilities and responsibilities.
  • Assisting on budget and finance questions and also solving issues on PO’s with the support from concerned team.
  • Partnering with Planon and Asset management team to ensure 100% of Assets at site are mapped to space link.
  • Demonstrate ability to manage process and timeliness and stakeholder expectations.
  • Continue to work on Non-RE managed sites and leading in proving those Non-RE location list to WPA project team and updates.
  • Trade Control Responsibilities :

  • Provide first-line Trade Control compliance advice for RE in conjunction with RE’s ECM and help to manage the resolution of red flagged trade transactions, with the authority to halt such transactions until satisfactory resolution.
  • Assign HS and ECCN classification.
  • Liaise with the SMEs and Trade Control Officers (TCO) in Ethics & Compliance to keep abreast of regulatory developments and changes.
  • Actively contribute as part of the group wide trade control manager community.
  • With support from the SMEs and TCOs, ensure that relevant staff are aware of changes to rules and requirements across RE.
  • Process all requests submitted through the Mailroom and Shipping tool by analyzing the requests, validating the backup documents, assigning ECN and HSN codes on time and within a turnaround time of 2 working days.
  • ensures that shipments are effectively managed through Shell Mailroom and Shipping Tool and are compliant with all relevant trade control standards.
  • SharePoint Admin Responsibilities :

  • Co-ordinate the Records Management & SharePoint Network (RSM) and ensure it is used effectively.
  • Work closely with and support SharePoint, Records Management, data & Information focal points in different Functions on their Operational Excellence journey and ensure cross departmental learning's.
  • What we need from you

  • At least 3 years of working experience in a leading multicultural organisation handling administrative role, trade compliance and Workplace Accessibility background.
  • Working experience on Planon or SharePoint application will be advantageous.
  • Adept at business partnering / stakeholder management.
  • Good at data handling & analysis.
  • Strong collaboration and stakeholder management skills.
  • Strong believe on D&I and fast learner and curious to learn new things.
  • Leadership attributes behaviors and collaborative by working with different functions and teams.
  • Problem solving and decision-making skills to address issues with speedy response.
  • Able to work under pressure and manage / meet expectations from the different stakeholders.
  • Fluency in English in terms of writing and speaking.
  • People Skills :

  • A professional with broad data & information skills.
  • A track record of delivery, self-starting with the ability and courage to initiate manage change.
  • Good interpersonal and communication skills.
  • Must be a self-starter with the determination of seeing things through and succeeding.
