Job Description

Manage Front Desk & all its activities such as billing, handling telephonic inquiries, welcoming the clients / guests, handling visitors, related admin function.

Serves visitors by greeting, welcoming, and directing them appropriately, notifies company personnel of visitor arrival, maintain registers and telecommunications system.

Answer all incoming calls and redirect them and / or communicate messages.

Keep front desk tidy and presentable with all necessary material / stationery etc.

Responsible for complete facility management, office administration, collating stationery requirements from individuals and procuring it on monthly basis, procurement of eatables for pantry, tea / coffee vending machines etc.

Maintain Petty cash and First-Aid Box.

Receive documents, courier packets, parcels, etc. and manage their allocation.

Prepare outgoing mail by drafting correspondence, securing parcels etc.

Responsible for complete Travel Desk Domestic and International Rail / Flight, Hotel Reservations / booking and / or cancellation.

Handle vendors for supply of stationery, tea / coffee vending machines, eatables in cafeteria / festival / event celebrations, travel agents, etc.

Maintain record of approvals and travel arrangements, validate bills of travel agents and process the same with Accounts department.

Support HR attendance management, generation of letters and Willingness to take additional responsibilities based on business requirements.

Office Assistant reports to Director Growth Strategy and handle multiple responsibilities, simultaneously comprising of follow-up on long-term and short-term projects with urgency requiring immediate attention of the Director.

Frequent follow-up with Managers with respect to Action Items based on Minutes of Meeting.

Collaborate and achieve actionable results with ability to build strong and sustainable relationships and capability to interact people across all levels in the organization.

Facilitate all activities related to replying to e-mails on behalf of Director, correspondence, update / generate business plans, sales reports / MIS etc.

Make Power Point Presentations, coordinate with Factories and managers for timely delivery.

  • Manage schedule, preparation of presentations; travel itineraries, logistics and expense reporting associated with travel;
  • work closely with sales on securing customer meetings; manage the budgets; and help internal communication and coordination.

    Willingness to take additional responsibilities based on business requirements.

    Graduate in any discipline preferably with PG Diploma in secretarial practice with strength in documenting Minutes of the Meetings, follow-up with vendors, clients, project teams to report MIS and status update, presentation skills, and prior experience as an executive assistant to a senior executive in a fast-growing organization.

    Impressive multi-tasking skills and passion for managing a wide variety of projects.

    Stellar organizational and communication skills with proven experience in preparing and presenting information to executives and Board of Directors.

    High sense of urgency and drive for excellence.

    Skilled in Word, PowerPoint and Excel is essential.

    A sense of humour and ability to thrive in a fast paced and dynamic environment.

    Excellent verbal and written English communication skills and office administration.

    Willingness to take additional responsibilities based on business requirements.
