    Position Description

    This member of the Trailing Document Review team will work with the Document Custody Operations management to identify and review trailing documents as part of our certification process.

    This will be part of a production workflow where documents will be scanned in Santa Ana, CA and the resulting images will be indexed and the document reviewed by DBOI staff.

    This is a high level production environment with an expected 15,000 18,000 documents per day total production.

    Position Specific Responsibilities and Accountabilities

  • Identify correct trailing document record by utilizing information like loan number, document date, borrower name and property address.
  • Utilize IBM DataCap software to index and save documents.
  • Review Document in embTrust system for completeness and accuracy.
  • Review data elements in embTrust system against printed data on image document.
  • Verify required riders are present and presence of legal description when required.
  • Confirm Notary license is not expired.
  • Use process / workflow for tracking and processing work in progress.
  • Deliver daily assigned productivity target by meeting the required quality score
  • Escalate sensitive client issues to Operations management.
  • Work with Manager to identify improvement opportunities to create document processing efficiencies.
  • Must communicate with staff, leads, and managers to coordinate operational processing within agreed time frames
  • Experience / Exposure

    Essential Qualifications :

  • 3+ years of work experience in an Operational environment
  • Background in US Mortgage - Origination / Servicing
  • Familiarity of documents like Mortgage, Note, Assignment, and Title Policy would be an added advantage.
  • Proven computer, writing and data management skills
  • Ability to provide high transaction productivity.
  • High level of attention to detail.
  • Strong communication skills both oral and written
  • Ability to manage and prioritize numerous tasks concurrently
  • Basic knowledge of documents related to Mortgages and other asset types
  • Basic knowledge of key elements of document review
  • Ability to work effectively on a team.
  • Strong organizational skills with the ability to analyse and improve processes
  • Technical Skills :

  • Proficiency with MS Office, especially excel
  • Education / Qualifications

  • Bachelor's degree (Finance or Business preferred)
  • Experience working on a team with diverse and dynamic members
  • An excellent, confident communicator (written, verbal and in person)
  • Able to operate calmly and efficiently in a high volume, intense atmosphere that maintains a very low margin of error.
