  • Act as first point of contact for employees on Admin related activities.
  • Manage the infrastructure including Cafeteria & Pantry
  • Manage House Keeping and security personnel to avoid staff shortage leading to incompletion of the task assigned.
  • To help negotiate on Fleet & Transport Activities.
  • Event Management, co-ordinate client and customer visits by making necessary arrangements.
  • Negotiating with Hotels and Resorts for any kind of activities, Trainings and meetings and organizing the same. Organizing the requirements for employee's who are traveling.
  • Ensure planning and execution of all preparation required for Conferences / meetings
  • Oversee the Front Office function and ensuring the visitors are attended promptly.
  • Take rounds of the front office and office premises to ensure high standards of housekeeping and upkeep.
  • Verification and submission of all bills related to admin and travel to the finance department and ensuring timely payment are done to the vendors.
  • Prepare and submit admin weekly and monthly expenditure.
  • Inward and outward mail management.
  • Activation, suspension and maintenance of all company communication equipment's (Telephone, Mobile, Data card, Broadband and Lease Line ) and ensuring timely payments are done to the service provider.
  • Maintaining and tracking of all company assets provided to employees and ensuring to collect them at the time of reliving.
  • Printing Stationeries (Business Cards, ID Cards, Letter Heads, Envelops, Boucher and Gift Items) for admin and other departments.
  • Coordinating office supplies including placing orders and maintaining stationery supply levels.
  • Handling and maintaining log of petty cash.
  • Sourcing PR / PO for various departments for office equipment's and maintenance.
  • Responsible for all Statutory and official documents.
  • Responsible for the maintenance of all machinery and electrical equipment's in the facility.
  • Monitor Annual Maintenance related issues for all equipment at the facility.
  • Providing support services for HR activities
  • Tracking the readings of DG's and Diesel Intending.
  • Ensuring smooth functioning of Biometric System
  • Space allocation of Employees and ensuring basic Facilities like Access Card and Extension Numbers are provided.
  • Maintain and keeping resource management documents up to date required for Quality Audit.
